This regulation has been prepared in order to guide the academic affairs of students in order to grow and flourish as much as possible by explaining the specific duties, responsibilities, and executive structure in order to prevent academic decline, provide opportunities for academic advancement, and resolve educational, research, personal, social, emotional, and welfare problems of students at various levels of education (Associate, Full-time Bachelor, Part-time Bachelor, and General Doctorate in Medicine, Dentistry, and Pharmacy).

Definitions

A professor advisor is a member of the faculty of a university or college who is responsible for the academic guidance and counseling of students at various levels of education in the fields of educational, research, and personal development.

Objectives

Continuous guidance and monitoring of students' academic progress

Identifying areas of vulnerability and non-educational factors affecting students' educational status and working to resolve them.

Familiarizing students with the city of study, various university departments, educational and research regulations and processes

Identifying and highlighting brilliant talents and guiding top students

The position of the advisor

The advisor is considered the first level of communication between the student and the educational system.

The advisor has executive responsibility for advising and guiding students on educational issues within the scope of the relevant regulations, including registration, taking and dropping credits, dropping all courses taken in a semester, changing majors and transferring, and partying. Any decision-making in the above cases is subject to the written opinion of the advisor.

The advisor has a guiding and advisory role in the fields of research, social culture, and welfare and can announce his written opinions to the Vice Chancellor for Research and the Vice Chancellor for Student Culture.

Description of the duties of the advisor

The advisor must be familiar with and proficient in all educational, welfare, cultural, social, research and consulting regulations and instructions, and be aware of his duties and powers.

Note: The university is obliged to hold educational workshops to familiarize the advisors with the above matters.

Paying special attention to students upon their initial entry to the university and familiarizing them with the different units of the university and different places in the city where they study is one of the duties of the advisor.

The advisor must familiarize the student with the educational, research, student and disciplinary regulations and rules in the relevant courses.

The advisor must create a file for students, while respecting the confidentiality of information related to them, that contains the following information.

A) A questionnaire that includes the student's personal, educational, family, social and economic information. This questionnaire, Form A and B, is completed by the student on the day of initial registration and delivered to the advisor.

b) The student's academic status form, which includes a summary of each semester's information. This form is completed by the faculty's educational vice-chancellor.

c) Images of the student's final semester's report cards are provided to the advisor by the faculty's education department.

d) A report form regarding the student's reasons for contacting the advisor and the consultations provided by the advisor.

A copy of the report on the student's emotional, cultural, and educational characteristics that has been referred to the university's counseling center, along with the results of examinations, treatment measures, and consultations.

The advisor must provide the student with the necessary advice on career fields and how to continue his education and prepare him to accept job responsibilities in the future.

Guidance and curriculum planning, and advising students on the correct methods of studying and encouraging them to participate in extracurricular scientific and cultural activities are among the duties of the advisor.

All forms for selecting a unit, visiting medical certificate, transfer, relocation, removal, and emergency addition and removal of course units, and removal of all courses taken in a semester must be reviewed and approved by the advisor.

Continuous evaluation and recognition of the student's academic status in the past, present, and follow-up in the future must be carried out by the supervising professor.

The advisor must pay attention to the student's family and academic environment and, if necessary, consult with experts and experts on issues related to student problems.

The advisor must inform the student's family about the student's problems at his/her discretion and consult with them if necessary.

Note: In this regard, the advisor must acquire the necessary expertise by completing training courses.

The advisor must report the student's problems to the director of the relevant department and the vice-chancellor of the faculty (as appropriate) in coordination with the head of the faculty advisor.

If invited, the advisor must participate in university or faculty meetings (including the special cases commission and disciplinary committee, etc.) in which educational, welfare or disciplinary decisions are made regarding the student under his/her care in an advisory capacity.

The advisor must introduce students to various university units, including

the university's Academic Counseling and Guidance Center in cases where cooperation and specialized advice are needed.

Note: Following up on files referred to relevant centers is one of the advisor's duties.

The advisor must participate in briefing and educational workshops and meetings related to advisors.

The advisor must participate in monthly meetings held by the faculty's vice president of education and the head of advisors in each semester.

The advisor must prepare a performance report at the end of each semester and submit it to the head of the faculty's advisors.
